What should a UK freelance invoice include?
Every invoice you send should include enough detail for your client to process it quickly. At a minimum, you need:
- Your business name and address so the client knows who is billing them.
- The client’s name (or company name) for their records.
- A unique invoice reference such as INV-001. Sequential numbering makes bookkeeping easier for both sides.
- A clear description of the work or services provided.
- The total amount owed in GBP.
- The invoice date and due date, so there is no ambiguity about when payment is expected.
- Your payment details (bank account, sort code, or PayPal address).
If you are VAT registered, you must also include your VAT number, the VAT rate, and a breakdown of the VAT charged. Tick the “VAT registered?” option above to add these details to your invoice.
Why include a late payment clause?
Under the Late Payment of Commercial Debts (Interest) Act 1998, you can charge statutory interest on overdue B2B invoices at 8% above the Bank of England base rate. You can also claim fixed compensation of £40 to £100 per invoice. These rights apply automatically to B2B invoices, whether or not your invoice mentions them, unless your contract already specifies a different late payment interest rate.
So why include a clause? Because most clients do not know this law exists. A short note on your invoice reminds them that late payment has a real cost. In practice, invoices with a late payment clause get paid faster.
